In this role, you will be responsible for providing support to North America-based the team members of our growing life sciences consulting firm. Under minimal supervision you will leverage your operational administrative skillset to think critically and offer solutions to help our team be as efficient and productive as possible. Utilizing strong project management, interpersonal, and communication skills you will anticipate the needs of the team to ensure organization and smooth day-to-day operations.
Characteristic Duties:
- Provide back-up support to project operations activities including entering booked time against projects
- Lead the resource planning process, collaborating with project leads and cross-functional teams to identify gaps and allocate appropriate resources to meet project goals.
- Monitor resource utilization and adjust allocation to balance workloads and maximize efficiency and profitability.
- Drive operational scaling efforts to accommodate growing project demands
- Independently manage day-to-day administrative activities of assigned Leaders, ensuring an efficient and effective response to assigned duties and requests, tailoring the approach to the unique needs and goals of the North American Leadership Team
- Anticipate needs and provide operational and administrative support to help maximize the effectiveness of the organization, including critical thinking around calendar logistics, managing to-do lists and the follow up of action items, protecting time to allow for the Executives to focus on key priorities
- Independently manage intensive calendar coordination for multiple Leaders, leveraging an understanding of organizational and individual priorities and needs
- Represent team members to external stakeholders and serve as the first point of contact for them, responding to complex inquiries requiring an advanced understanding of their work and its impact on Halloran, and a deep understanding of Halloran’s policies and procedures
- Assist with creating or editing PowerPoint presentations (e.g., formatting slides, adding visuals, or ensuring consistency).
- Act as an onsite facilitator for client meetings and team meetings including A/V support, room reservations, catering, and general event execution and all related meeting logistics, set up/break down of space, and attending and coordinating follow-up actions as needed
- Coordinate in-office and virtual events including leadership team meetings, staff meetings, and team building events
- Manage end-to-end travel process, including expense reports for Leadership Team Members
- Compose and edit internal and external routine correspondence and documents, including emails, meeting minutes, memorandums, and other key documents
- Identify opportunities for process change or improvements in all aspects of your role- execute on identified areas for improvement, aligning resources, developing improved processes, and communicating changes to relevant stakeholders
- Partner with internal Halloran and PLG team members (up, down, and across the organization) to ensure success of company goals and initiatives and to ensure the satisfaction and success of all employees
- Handle sensitive information with the highest level of confidentiality, judgment, and discretion
- Other duties and responsibilities as assigned
Qualifications:
Required:
- A Bachelor’s Degree with a minimum of four years of experience in a similar role; additional related experience may substitute for required education
- Experience coordinating multiple busy schedules simultaneously and managing a high-volume of scheduling
- Expert level knowledge of Microsoft Outlook, PowerPoint, and Office Suite of products
Preferred:
- Experience in one or more Life Sciences or Client Services organization(s)
- Experience working in geographically diverse organizations
Compensation:
The targeted gross compensation range for this position is between $80,000.00 and $100,000.00 annually. Please note: this compensation range is Halloran’s good-faith and reasonable estimate of the range of possible compensation for this particular position at the time of posting; however, Halloran may ultimately pay more or less than the posted range.
